Onboarding

Complete guide to setting up your institution on Pasarai ERP.


Overview

The onboarding process helps you configure your institution from scratch. This guide walks you through each step to get your ERP system fully operational.


Prerequisites

Before starting the onboarding process, ensure you have:

  • ✅ A valid email address for admin account
  • ✅ Basic institution information ready (name, address, contact details)
  • ✅ Institution logo images (optional but recommended)
  • ✅ List of academic standards/grades you offer

Onboarding Steps

The onboarding wizard guides you through a 4-step process:

Step 1: User Details

Tell us about yourself as the primary administrator.

Required information:

  • First name and last name
  • Contact number
  • Role/designation at the institution

Tips:

  • Use your official name as it will appear in system communications
  • Ensure contact number is accurate for account recovery

Step 2: Basic Institute Information

Provide fundamental details about your institution.

Required information:

Board/AffiliationCBSE, ICSE, State Board, etc.
Establishment YearYear the institution was founded

Optional information:

  • Institution tagline
  • Brief description

Step 3: Detailed Institute Information

Complete your institution’s profile with additional details.

Contact & Location:

Branding:

Tips:

  • Use high-quality logo images (PNG or JPG recommended)
  • Ensure contact details are publicly shareable

Step 4: Completion

Once all information is submitted:

  1. Your institute is created in the system
  2. You’re assigned as the primary administrator
  3. You’re redirected to the dashboard

After Onboarding

Immediate Next Steps

Once onboarding is complete, follow these steps to fully configure your ERP:

1. Configure Academic Structure

Set up your institution’s academic framework:

  • Standards/Grades: Define all grade levels (e.g., Grade 1-12)
  • Sections: Create sections for each standard (e.g., A, B, C)
  • Subjects: Add subjects offered at your institution
  • Academic Year: Set up the current academic year

Navigate to: SettingsConfigurationAcademic

2. Invite Staff Members

Add your teaching and administrative staff:

  • Navigate to HRMSStaff
  • Add staff members with their roles
  • Assign appropriate permissions

3. Set Up Classes

Create class records for the academic year:

  • Navigate to SISClasses
  • Create classes by combining Standards and Sections
  • Assign class teachers

4. Enroll Students

Add students to your system:

  • Navigate to SISStudents
  • Add individual students or bulk import
  • Assign students to classes

5. Configure Permissions

Set up role-based access control:

  • Define roles for different staff types
  • Assign module and feature permissions
  • Review default permission templates

Profile Selection

If you have access to multiple institutes, you’ll see the Profile Picker screen:

Selecting a Profile

  1. View all institutes you have access to
  2. See your role at each institute (Management/Staff)
  3. Click on an institute to access its dashboard

Creating a New Institute

From the Profile Picker:

  1. Click Create New Institute
  2. Complete the onboarding wizard
  3. New institute is added to your profile list

Roles and Permissions

After onboarding, configure access control for your team:

Default Roles

TeacherAccess to assigned classes and students
StaffLimited access based on department

Setting Up Permissions

  1. Navigate to SettingsPermissions
  2. Create custom roles or use defaults
  3. Assign permissions by module and feature
  4. Assign roles to staff members

Troubleshooting

Common Issues

Getting Help

  1. Check error messages displayed on screen
  2. Refresh the page and try again
  3. Contact support with screenshots of any errors
