Bulk Student Promotion

The Bulk Student Promotion feature allows you to efficiently promote multiple students from one class to another, typically at the end of an academic year or term.

How to Use Bulk Promotion

Step 1: Select Source Class

  1. Navigate to SIS > Students > Promote Students
  2. In the Source Class section:
    • Select the Academic Year containing the students you want to promote
    • Select the Class (standard, section, and medium) from which students will be promoted
    • Click Refresh if needed to reload the student list

Step 2: Select Target Class

  1. In the Target Class section:
    • Select the target Academic Year (usually the next academic year)
    • Select the target Class where students will be promoted to
    • The system will display available classes with teacher assignments and student counts

Step 3: Review Warning Messages

  • Same Standard Warning: If both source and target classes are in the same standard (grade level), you’ll see a warning message. This indicates students will remain in the same grade, which may be intentional for section changes or unintentional for promotions.
  • Review your selections carefully before proceeding.

Step 4: Select Students

Once both source and target classes are selected, the student list will appear showing:

  • Student names (first, middle, and last names)
  • Roll numbers
  • Current status badges (Active, Promoted, Discontinued, Graduated)

Selection Options:

  • Individual Selection: Click the checkbox next to each student’s name
  • Select All: Use the “Select All” button to select all active students at once
  • Deselect All: Clear all selections to start over

The badge at the top shows how many students are currently selected (e.g., “5 of 30 selected”).

Step 5: Promote Students

  1. Click the Promote [X] Student(s) button at the bottom
  2. The system will:
    • Update each student’s class record to the new class
    • Maintain their academic history
    • Preserve their student profile and guardian information
  3. A success message will confirm the promotion
  4. The student list will refresh automatically, removing promoted students from the source class view

Best Practices

Before Promoting:

  • Verify the correct target academic year is selected
  • Ensure the target class has sufficient capacity
  • Review the class teacher assignment for the target class
  • Double-check that students are being promoted to the correct standard (grade level)

During Promotion:

  • Promote students in batches if you have a large number of students
  • Use filters to promote specific groups (e.g., by section or performance)
  • Keep track of which students have been promoted to avoid duplicates

After Promotion:

  • Verify student records in the target class
  • Update roll numbers if needed in the target class
  • Notify teachers about new class assignments
  • Review attendance and academic history for continuity

Important Notes

  • Permission Required: You need the “Create Student” permission to access this feature
  • Active Students Only: The list automatically filters to show only students with “active” status
  • Bulk Operation: Promotions are processed as a single transaction for efficiency
  • History Preserved: Students maintain their complete academic history across promotions
  • No Undo: Once promoted, use individual student management to reverse if needed
  • Cross-Year Promotion: You can promote students across different academic years and standards
  • Same-Year Transfer: You can use this feature to transfer students between sections in the same academic year

Troubleshooting

Students not appearing:

  • Verify the source academic year and class are correct
  • Ensure students have “active” status
  • Check if students have already been promoted
  • Click the Refresh button to reload the list

Cannot select target class:

  • Ensure you’ve selected a target academic year first
  • Wait for the class list to finish loading
  • Verify the target academic year has available classes

Promotion fails:

  • Check your internet connection
  • Verify you have the necessary permissions
  • Ensure the target class exists and is active
  • Contact your system administrator if the issue persists
  • Individual Student Transfer: For transferring single students, use the student profile drawer
  • Student Records: View promotion history in individual student records
  • Class Management: Manage class capacity and teacher assignments before bulk promotions
  • Academic Year Setup: Ensure academic years are properly configured before promotion season
